Resource Overview

In the South African procurement process, suppliers register on the Central Supplier Database (CSD) where their compliance details are verified, and government departments issue Requests for Quotation (RFQs) through this system, allowing suppliers to respond electronically; once an award is made, a Purchase Order (PO) is generated as the formal contract document authorizing the supply of goods or services, specifying items, quantities, prices, and delivery terms, and this PO is directly linked to the supplier’s CSD profile to ensure only compliant suppliers are engaged; suppliers must then submit invoices that reference the PO number, since no payment can be processed without it, making the PO the critical bridge between RFQ awards, invoicing, and payment, while the CSD ensures transparency, accountability, and financial control throughout the entire workflow.
